APPLY FOR A CONFERENCE

This page shows the bylaws to apply for conference at the Research & Initiatives Center at Prince Sultan University based on MEMO Referenced: "1st Sem2019/2020-IOM/AY-A144", Dated Jan 15, 2020. The bylaws mentioned in the 2020 MEMO supersede any previous conflicting rules.

  • When a faculty member has a paper/abstract accepted in a conference, he can apply for a fund to cover the registration and the expenses of the attendance of the conference. The level of financial coverage depends on the category of the conference, where he has the paper/abstract accepted. The bylaws for conference attendance are available in the Participation in Scientific Conferences Policy It is recommended to read the Funding for Scientific Conferences Participation Policy before you submit a paper to a conference to know in advance the amount of the financial support provided by PSU.   • The faculty member needs to submit a request to the College Research Director (CRD) that contains the following:

    • Fill-in the PSU Conference Publications Input Form.
    • A request letter that specifies the conference to attend, the duration, and all related information.
    • The accepted paper, in addition to the acceptance letter, the reviews of the paper.
    • detailed information about the conference
    • Conference Attendance Application Form
    • A letter, signed by the department chair, specifying who replaces the applicant's in presenting his lectures during the conference attendance period
  • Once the conference request is received by the CRD, it processes it within the CRC and the college according to RIC Bylaws.

    • Verify the paper details entered in the PSU Conference Publications Input Form using the Conference Publications page.
    • Verify the correctness of the request (conference category, requested bugdet, ...).
    • Get approval from the CRC and College Dean within 10 days of the requested.
    • Send the request to RIC.
  • Once the conference request is received by the RIC:

    • Make sure that the paper is updated in the PSU Conference Publications Input Form.
    • Verify the correctness of the request (conference category, requested bugdet, ...).
    • Send RIC approval of the conference request to the vice-rector office within 48 hours.
    • In case of missing information data/documents, RIC will contact the college dean/CRD to complete the missing information.
  • After the return from the conference, the faculty member has to submit the Conference Attendance Report to share his experience about the conference attended.

    • The report must be submitted to the CRD and RIC within one month from the return from the conference.
    • The report will be shared among all colleagues of the respective college and with the higher management.
  • If you would like to refund your fees paid during a conference you have attended, please use this form and submit to RIC once completed Conference Fees Refund Form. Please note that the refund is conditioned upon pre-given approval of the conference participation.
